Pages that need approval

Require named people to approve changes to an important page before they go live.

Some pages matter enough that changes shouldn't go live until the right person has checked them: a security policy, a pricing page, anything with legal weight. On any plan, a workspace admin can require approval for a page.

Turn it on

  1. Open the page and select the ⋯ menu, then Approval….
  2. Turn on Changes need approval before they're published.
  3. Under Approved by, choose one or more people who can edit the page.
  4. Choose Any one of them or All of them.
  5. Select Save.

The Approval for this page dialog: the switch is on, Dana Kim and Sam Ortiz are the approvers, and Any one of them is chosen.

When you make a change that needs another person's approval, the draft shows Needs approval next to Ask for review. A published page with no draft has no approval waiting.

What changes for editors

Anyone who can edit the page still can. The main action becomes Ask for review when another person's approval is needed. Select it to send the changes to the approvers. Waiting for review then shows who is still needed when you hover, focus, or tap it. Once the approvers you chose have approved, the changes are published.

Other editors can still approve. Their approval is shown, but only the approvers you chose count. Any editor can find an open review in For you and open it, even if they were not asked. A draft that has not been sent for review remains private to its author.

If the person publishing is the only approver who could approve, the changes publish directly, and Knit notes that nobody else was available.

Restoring an earlier version works differently on these pages: instead of restoring directly, copy what you need back into the page and publish it, so the approvers can review it.

If you try to restore a version or replace the latest page after an edit conflict, Knit leaves the published page unchanged and explains that it needs approval. Your conflicting copy remains available under Mine.

The same rule applies to a proposed change that is part of a larger change set. Accepting that proposal does not publish the protected page. Knit links you to the page so you can make the change there and ask its approvers through Publish.

Turn it off

Open Approval… again and turn the switch off. Changes publish as usual from then on. Anything already waiting stays open until someone approves it or the author withdraws it.
