Workspaces

Split a site into separate workspaces, decide who can open each one, and give people their own roles.
SweaterQuilt

A workspace is a separate knowledge base inside your site, with its own pages, folders, tags, and people. Every site has one built in, the Site workspace. On Sweater, site admins and editors can add one more. On Quilt, they can add as many as they need, for example one per team or client.

Until a site has a second workspace, Knit doesn't show the workspace switcher.

Example. A studio that works for two clients might use:

WorkspaceWho can open it
Site workspaceOpen: the whole studio
Clients – HarborPrivate: the Harbor team and one guest from Harbor
Clients – JuniperPrivate: the Juniper team

Add a workspace

Adding workspaces needs Sweater or Quilt. Site admins and editors can add them; someone invited to only one workspace cannot.

  1. Open Settings, then Workspaces under Site.
  2. Under Add a workspace, enter a Name and check the Address.
  3. Under Who can open it, choose Open or Private (see below).
  4. Select Create workspace.

The person who creates a workspace becomes its admin and is shown as its Owner. Only a site admin can change the site's plan.

Switch between workspaces

The site name opens For you at /~/home. Under Home, choose For you or Activity (/~/activity). Both show work across the workspaces you can open, including your drafts; choosing a workspace in Pages does not limit Home. Use the Workspace filter in For you to narrow the draft list. See For you and Activity.

Open Pages in the sidebar to browse the selected workspace. When you can open more than one workspace, its switcher appears inside Pages, above your pins and page tree. Select a Recent workspaces entry to change workspaces. You can also search for a workspace by name, or open one from Settings → Workspaces.

When you switch workspaces from Settings, Knit keeps Settings open. A named workspace opens its General page; the Site workspace opens the site's General settings. To change sites, open your account menu at the bottom of the sidebar and choose Switch site…. On a phone, open the navigation drawer first.

Open and private workspaces

  • Open: everyone on the site can open it, with the role their site role gives them. Site admins are its admins; site editors are its editors. The Site workspace is always open.
  • Private: only people invited to it can open it, site admins included.

A workspace's admins can switch between the two: open Settings, then People under the workspace's name, and choose under Who can open this workspace.

Give someone a different role

On the workspace's People page, each person has a role choice:

  • Site default (Admin) or Site default (Editor) follows their site role.
  • Admin or Editor gives them that role in this workspace only, whatever their site role becomes.
  • No access keeps them out of an open workspace.

A workspace's People page: Open is chosen under Who can open this workspace, and each person has a role here, such as Site default (Admin), Admin, or, for a guest, Editor. The person who created the workspace is marked Owner.

In a private workspace, choose Remove access to take someone out. Knit asks you to confirm before anyone loses access. A workspace always keeps at least one admin.

The person who created a workspace is marked Owner. It shows who made it; it doesn't give them anything an admin doesn't have.

Invite someone to one workspace

On the workspace's People page, select Invite. Site admins can choose The whole site or just this workspace; workspace admins invite to this workspace only.

Someone invited to one workspace is a guest, marked Guest. They can open only the workspaces they were invited to, and they don't see the workspace switcher or the site's settings.

Rename or delete a workspace

Open Settings, then General under the workspace's name. Admins can change its name and icon and select Save changes. Its address can't be changed.

Set assistant writing guidance

Workspace admins can open Settings → Advanced → Assistant context to set instructions for writing in that workspace. Enter guidance such as "Explain acronyms on first use," then select Save guidance. Select Clear saved guidance to remove it.

That screen shows what the assistant receives at each stage of a task. It starts with a short description; select Read initial instructions to expand the instructions used at startup. The initial context includes your request, conversation, selection and confirmed progress. Workspace guidance, observed tone and writing standards are loaded before writing; relevant source content and editor details are loaded when needed. Page tone assessments contribute to the workspace rollup, rather than acting as individual page instructions.

Open Stored knowledge under Advanced to inspect saved summaries, facts, tone assessments and processing status. Their presence there does not mean all of them are sent to the assistant for every task.

If you choose a smaller plan

Existing workspaces stay, with all their content. You can add another when you are below your plan's workspace allowance. See Plans.
